The legs

Office to the venue

The bus is at the building at the end of the workday. Everyone leaves together and arrives together; nobody hunts for parking near the venue or expenses a car.

Venue back to the office

For staff who drove in, the return goes back to the office lot at the time you set. One departure at the end of the night, or two vehicles so the early leavers and the late crowd both have a ride.

Late return to the train or a hotel

A Manhattan venue with a New Jersey office, or the reverse: the return runs to Penn Station, Hoboken Terminal or the hotel block where out-of-town staff are staying.

Two offices, one party

A firm with an office in Jersey City and one in Midtown sends a bus from each. Both arrive at the venue on the same clock and both take their people home.

Timing the night

Set to your schedule

Most holiday parties start with a cocktail hour in the early evening and end between 10 PM and midnight. The bus leaves the office ahead of the start, is on hand for the return at the time you set, and the wait in between is part of the same booking. Where the vehicle waits during the party is handled on our side, not by your office manager.

The late-night return. Set the return for a fixed time rather than “when it ends.” Guests who leave early take a car; the bus carries the crowd that stays to the last round. Time past the quoted window bills in 30-minute increments at the hourly rate, so a party that runs long is covered, not stranded.

Staggered departures. A larger office books two vehicles leaving a set interval apart, or one departure out and two vehicles back. Say so on the inquiry and the quote lays out each run.

Weather. A December night is a December night. The vehicle is warm and nobody in the group is walking to a train in it.

Invoice, deposit, balance

The quote is one itemized number: base hours at the vehicle’s rate, 10% gratuity and a 5% fuel charge already in, bridge, tunnel and congestion tolls listed at cost. Approve it and a 25% deposit reserves the vehicle and driver; the balance is invoiced and due seven days before the party. Card, ACH or check, and the invoice is itemized for your accounts-payable file.

December books early. The two Saturdays before Christmas fill first, then the Thursday and Friday nights around them. A quote costs nothing and the deposit is what holds the date, so send the date once the venue is set. The quote you approve is the invoice you get.

Vehicles and what it costs

8 to 55 seats

Count the people riding, not the names on the invite. A department of 20 takes a Sprinter or a mini bus; an office of 50 takes a full coach; beyond 55, two coaches run on one plan and one quote.

Rates are $200 to $300 per hour by vehicle size with a 5-hour minimum per vehicle, billed garage-to-garage: the drive to your office, the run to the venue, the wait during the party, and the return. Every quote includes 10% gratuity and a 5% fuel charge up front; bridge, tunnel and congestion tolls are itemized at cost. Days that run past 10 hours switch to a full-day rate. How it works

Four steps

1. Send the details

Date, the office address, the venue, how many ride, and a rough end time. From the organizer, the office manager or whoever holds the budget; approximate is fine.

2. A quote within a day

One itemized number: base hours, 10% gratuity and 5% fuel already in, tolls listed at cost. No account, no deposit to see it.

3. A 25% deposit holds the date

Approve the quote and place the deposit; the vehicle and driver are reserved. The balance is invoiced and due seven days before the party.

4. Driver info the night before

The organizer gets the driver’s name and cell by email the evening before, with the departure and return times restated. On the night, one call reaches the driver directly.

Does the bus wait at the venue during the party?
Yes. The wait between drop-off and the return is part of the same booking and the same garage-to-garage window. You are not paying for a second trip out.
Can this be invoiced to the company?
Yes. The quote is itemized, the 25% deposit and the balance are both invoiced, and the balance is due seven days before the party. Card, ACH or check.
What if the party runs late?
The bus stays. Time past the quoted window bills in 30-minute increments at the hourly rate and shows on the final invoice as exactly that.
How early should we book a December date?
As soon as the venue is set. December fills in order of the Thursday, Friday and Saturday nights closest to Christmas, and a 25% deposit is what holds the date once you approve the quote.
