Walks and 5Ks

Central Park, Prospect Park, Flushing Meadows, Liberty State Park: the road closures move the drop every year, so we work from the organizer’s bus instructions, not the map.

Bike rides

Bikes ride in the luggage bays. Tell us the count and we size the bays; for a big team a second vehicle carries the bikes.

03

Galas and dinners

The office to the venue and back late, with the coach waiting through the program.

Out-of-town events

Philadelphia, Boston, Washington: a full day or an overnight, quoted as one number.

Volunteer days

A crew to a build site, a park cleanup or a food bank shift, with the tools in the bay.

How a charity day runs

The plan

Before the road closures

Arrival is timed to the organizer’s bus window, and the driver has the event’s bus staging map the night before.

Parked where buses go

Big events publish where buses drop and wait; we follow it and confirm with the event office the week before, so the coach is where the team left it.

Everyone home together

The coach waits through the finish, the tent and the photos, and leaves when the captain says.

One contact, one number

One coordinator plans the run, the team captain has the driver’s cell the morning of, and a late start or a moved finish goes to one number.

Send the event, the date and the team size

The event name and the organizer’s bus instructions, if they sent any, are all we need.

Step 02

One all-in number the same day

Gratuity and fuel are in the number. Tolls are itemized at cost.

Step 03

Approve, and it is on the calendar

Invoiced to the company or the team captain, driver info the day before.

Charity Walks, Runs & Rides FAQ
Do you know the event’s bus rules?
We work from the organizer’s published bus instructions and confirm with the event office the week before. Drop points and bus lots move year to year, and the driver has the current map.
Can the bikes come on the bus?
Yes, in the luggage bays. Send the bike count with the headcount and we size the vehicle; a big ride gets a second vehicle for the bikes.
Can we pick up at two places?
Yes. The office and a hotel, or two offices, timed to one arrival at the start line.
Does the bus wait at the finish?
Yes. Round trips are quoted with the wait built in, so the coach is at the bus lot when the team is done.
Can this be invoiced to the company?
Yes. The quote is one all-in number with gratuity and fuel in it and tolls itemized at cost; a 25 percent deposit holds the date and the balance is invoiced seven days out, by card, ACH or check. NET terms and POs are available for established accounts.
Can you provide a certificate of insurance?
Yes. We provide COIs on request and can name your company as additional insured where your contract or the event requires it.
